Our Client is a well-established Facilities Management company that cover London and the South. They pride themselves on their service and retention of staff, and currently seek a further Planner to join a busy team. This position will plan and manage engineers’ workload/diaries, control the works allocation from pre-arranged appointments and make further appointments for any follow on works, including ensuring that all works are carried out by utilising the delivery driver to drop off parts that are not in the engineers van stock.
There will be a number of variables throughout the day that will have to be taken into consideration. There might be a need to issue alternative engineers with further appointments and/or re-plan a job for later time, possibly organising additional labour to attend and assist with the works, based on capacity and location or time constraints of completing other major works.
The roles requires good knowledge of building maintenance services/engineering associated with repairs and installation works, as well as experience within social housing contracts and construction or building services industry.
Responsibilities:
Your primary role is ensuring the appointments are completed on time during the day. Any jobs re-arranged for another day must have been authorised by the supervisor, with the notes fully updated and emails sent to confirm.
Planning the engineer’s daily routines and deploying orders/ jobs for attendance.
Managing the engineer’s time throughout the day.
Allocation and deployment of emergency works.
Updating job statuses. You will update the status of all works orders to completion and regularly report as to the productivity of the engineers throughout the day.
Undertake any other duties as required by the manager and company from time to time, when these duties are necessary.
Pick up inbound calls from tenants and booking appointments.
Monitor work orders received ensuring orders are processed, inputted onto the relevant systems and jobs attended within the specified timescales.
Book appointments with client and /or tenant for job attendance.
Ensure engineers have the correct information required to complete the job.
Provide supervisor with appointment details to undertake inspection and for allocation of work to engineers.
Undertake 10% of customer satisfaction calls. Document and record.
Update planned and preventative maintenance (PPM) schedules according to the data provided by clients.
Answering all queries politely and deal with any complaints in a professional manner.
Ensuring relevant data is updated on a regular basis.
Communicate any concerns regarding the works/ engineer’s reports to the manager.
Administrative duties & any other ad hoc roles that may arise.

Undertake work related training to improve knowledge and skills
Take responsibility for your performance to ensure that the service you provide is of high quality and compliant with Company’s policies and procedures.
Follow the framework of performance management and monitoring, championing best practice and a high-level performance culture throughout the Company
Liaise with both internal and external contacts in a friendly and helpful manner in order to uphold and strengthen the values of the company.
Knowledge and Skills:
Educated to GCSE Level (or equivalent) in English and Maths
Working within a social housing environment in a customer services role
Supervision of staff/external contractors
Experience in working to deadlines in a busy office environment
Strong skills in Microsoft Office Suite
Effective verbal and written communication skills and ability to work with people in a variety of circumstances and from various backgrounds
Possess a thorough, organised and detail-oriented approach to work
Able to plan, prioritise, and coordinate, multi-task and complete work assignments within deadlines.
Interpersonal Skills:
Must have a flexible approach to working with others.
Ability to work under pressure
The ability to work in a team as well as on your own initiative
Good time management skills
Attention to detail
Able to apply effective time management and self-management skills
Ability to quickly absorb new information and use it appropriately

The nature of the business will involve carrying out work outside of normal working hours. This will be the participation in an “out of hours” call out rota.
