An enthusiastic Sales Coordinator is now required to join the team – the ability to communicate, effective intelligence and inquisitiveness are more important than previous experience.
Main Activities
• Providing support for all elements of the sales process under the direction of Senior Bid Manager.
• Assisting with the preparation of all sales tenders and collating information required in conjunction with the Sales Team.
• Assisting with quality checking and presentation formatting of tenders.
• Assisting in the completion of Pre-Tender Questionnaires and collating information in conjunction with the Sales Team.
• Assisting with planning and administration of marketing campaigns in conjunction with the Sales Team.
• Maintaining and updating ACT database sales pipeline in conjunction with company’s policies and procedures.
• Assisting with the Sales input to the Sales Review process.
• Liaising with potential and existing clients in the absence of, or on direction from, the Sales Team as required.
• Monitoring specified client tender publication web portals, and researching potential new client portals.
• Helping maintain sales documentation required for the ISO9001 - 2000 accreditation in line with the company’s policies and procedures.
• Liaising with Sales Team and the Directors’ PA in maintaining their activities and diaries.
• Assisting in the organisation and attendance of conferences, seminars, functions and social events, as directed by the Director of Business Development.
• Assisting in the preparation of sales presentations as and when required using the templates provided.
• Maintaining the Sales Dashboard and collating sales figures for the monthly sales meetings.
• Providing research on clients for specific client meetings, completing a threat/needs analysis.
• Providing in-depth research on major accounts, detailing areas (but not limited to) services, contacts, needs, threats.
• Providing market analysis and research relating to existing and also new and potential market sectors.
• Providing market analysis and research relating to existing and new and potential service areas.
• Other ad hoc duties may be undertaken if required.
Competencies
• Handles ad-hoc incoming general enquiries / calls from clients and/or potential clients to forward to relevant department, therefore must be polite and helpful.
• Supports the client function through daily tasks, and requires the effective provision of continuous support required to achieve high levels of customer care.

• Take and transcribe formal minutes.
Freedom to act
• Is guided by SOPs, good practice, established precedents and understands what results or standards are to be achieved. Someone is generally available for reference and work may be checked on a sample / random basis.
• There is some diversity in the work which involves a number of non-routine elements although they are quite closely related to one another.
• Role is clearly structured and well defined. Problems are readily identified and standard solutions are available for solving them.
• Issues either resolved or escalated in a timely manner.
• Makes straightforward decisions within own span of influence.
Knowledge and Skills
• Admin procedures carried out such as maintaining records, routine queries and operating non-complex machines of general nature.
• Advanced Microsoft Excel and high standard of Powerpoint and Word.
• Understanding of a range of routine work procedures.
• At least 1 year’s practical experience.
• Accounts qualification desirable.
• A high standard of written English (Minimum GCSE Grade C or equivalent).

• Effective contribution as a team member to the achievement of team objectives, supporting colleagues in own team.
• Led by direct instruction to complete specific tasks and there is little or no requirement for flexibility.

Position, Salary and Benefits
• Following a six month probationary period, the position is permanent and will start as soon as possible;
• The salary is negotiable, within limits.
