My client, a privately owned educational facility for children are now seeking an additional Assistant Domestic Bursar, i.e. CQMS/RQMS Tech to join their team.

You will be reporting to the Domestic Bursar (DB) and you will be responsible for managing and developing the school’s facilities in an innovative and cost effective way and assist the Domestic Bursar with those duties which fall within his remit.

You will have responsibility for the day to day operational management, development, maintenance, safety and security of the buildings, plant, and contractors, to provide a safe environment while responding to the needs of the school and its functions.

You will take responsibility for projects as they arise managing them from development to completion.

You will have strong interpersonal and communication skills and a proactive approach to your work. Organisation and negotiating will be a strength of yours and you will have the ability to manage and oversee multidisciplinary teams. Your technical and technological knowledge will be strong and finance and budgetary experience both operationally and strategically are advantageous.

Therefore your responsibilities include:

General Duties

Your normal place of work will be in the DB’s Office located in Kew (but you will also work at such other places as the School may from time to time direct). From there, you will manage the projects in which you are involved and liaise with relevant departments and authorities as appropriate.

• Act as domestic bursar lead in the absence of the Domestic Bursar. You will be required to be knowledgeable of all projects and activities undertaken by the Domestic Bursar.
• Manage projects which will require planning, consultation with stakeholders, costing, negotiating with contractors where relevant, and implementation.
• Assist the Domestic Bursar in a maintaining a planned maintenance programme for the schools.
• Assist in maintaining the high-quality standards of the premises and equipment of the schools.
• Expected to stand-in where there may be temporary shortfalls in staff resources for activities related to this job description.

Specific Duties

• TES (EVERY) which is a sector Foundation Information Management System - oversee the daily routines necessary to operate the TES system and advise the Site Managers and Staff on the working functions of TES.
• Safety, Health, Environment and Fire (SHEF) - coordinating monthly returns relating to safety and maintenance and monitor and review the COSHH records and procedures for all schools on a monthly basis.
• Transport - ensure that all GSG vehicles are maintained in a Road Legal condition, including insurance documentation, road tax and the Restricted Operators Licence. Coordinate all external transport requirements for the schools ensuring value for money and prepare a monthly budget to show past and proposed expenditure.
• Photocopiers - be point of contact for suppliers regarding the groups photocopiers and prepare the actual and management figures for comparison
• Bio-metrics and tills - prepare the daily cash floats for the tills ensuring correct daily close down of tills and that cash raised from sales is stored in the safe before leaving the premises.
• Coordinate the enquiries for hire of all school premises and work to facilitate any lettings.
• Be available to attend school/parents functions as required.
• Be aware of and comply with policies and procedures relating to child protection, disabled access, health, safety and confidentiality, reporting all concerns appropriately.
• Work with the Domestic Bursar to identify appropriate contractors, obtain quotes and arrange site visits by contractors for tasks that cannot be completed by in-house staff and oversee their work as required.
• Be willing to undertake further job related training.

To be eligible for this role, you will need the following skills and abilities:
• Essential, must be able to pass an enhanced DBS/CRB check, as you will be working in and around children.
• Background in a Facilities Management, either Hard and/or Soft, or a strong Project Management experience.
• Having held the post of CQMS/RQMS or similar within a military establishment would be advantageous.
• Ability to liaise with individuals at all levels, both internally within the Schools, on occasion parents as well as 3rd parties.
