You will be reporting to the Director and you will be responsible for the planning and management of all collections and deliveries working closely with a team of part-time contractors. Overall responsibility for the management of our warehouse and our equipment. Working as part of a small but dynamic team and able to turn your hand to other tasks related to the business across any aspect of the business.
Therefore you will need the following key skills:
• Organised & methodical
• Calm under pressure
• Ability to direct a team of porters and working with them deliver results efficiently
• Ability to nurture and grow individuals within the team to the next level, working with site managers and team leaders
• Excellent attention to detail
• IT literate, particularly in Outlook, Word and Excel
• Forklift truck licence and experience (however training will be given)
• Ability to quickly learn and adopt new IT practices e.g. Sales Order Processing system, Label printing software and hardware and scanning app
• Must be physically fit and able to lift and move boxes and suitcases within agreed Health and Safety limits
• Good knowledge of public school system highly beneficial
• Clean driver’s licence held for more than 2 years (candidate must be older than 23 in order to drive a leased or hired vehicle).
Key responsibilities / tasks:
• Health and Safety: ensuring that the company complies with all necessary H&S and other guidelines as required in the office and warehouse and during the delivery and collection process
• Collection and delivery scheduling: Working closely with our Office Administrator to ensure that all collections and deliveries are accurately scheduled, teams briefed and managed accordingly and clients are satisfied that the delivery/collection was on time and without incident
• Management of students’ belongings:
1. Making sure we know what we have, where it is and where it needs to go to, both for schools and individuals
2. Making sure each item is collected/gets to its destination within the customer’s given expectations
3. Managing and extracting reports for collection and re-delivery as defined and required for operational purposes
4. Support for schools’ clearance and re-delivery:
5. Production of all documentation related to this process
6. Liaising closely with the Office Administrator on the sourcing and communication with all casual staff, drivers, removal partners and other third party suppliers as required
7. Processing of ‘extras’ once collection complete
• Warehouse management: Ensuring that the warehouse is effectively managed including:
1. Ensuring that we have enough warehouse space available at any given time – this will include identifying potential peak periods and related warehouse space to accommodate the peak in demand cost-effectively
2. Putting in place the correct warehouse management processes and procedures including additions and removals to/from the warehouse, stock control, racking and storage facilities
• Crate stock management: Working closely with the Office Administrator, ensuring that there is sufficient rental stock, cleaned and ready for despatch, to fulfil the rental requirements for the next rental period, including the repair of any broken items if possible
• Equipment: Checking all equipment used for collections/redeliveries is in good working order/ordered and delivered and ensuring that there is sufficient equipment to meet the requirements of the next collection/removal period
• People: Working closely with the Office Administrator to ensure that the pool of casual personnel is fully resourced with the right calibre of personnel around the country as required. Note: There may be times when the Warehouse supervisor is required to drive to sites to assist with collection and re-delivery;
• Sourcing: researching alternative sources of different products & services as required and reporting back to management with detailed like-for-like comparisons enabling selection of best source and establishing appropriate trade account relationship with selected entity
• Stock: Managing stock levels of all company materials and ensuring items are re-ordered when required
• Standard operating procedures: develop standard format and create SOP’s for different operations as briefed by management. Maintain and update these procedures as required
• Electronic filing system: ensure that as required, the business’ electronic filing system (Dropbox) is well managed and ‘tidy’ keeping Directors informed of updates and changes
• Event support: Provide support to conference / exhibition attendance ensuring all materials and required equipment is in order and ready for the event.
This role would possibly suit a JNCO who has a strong background in logistics and who has a calm people manner, as you will be dealing with a lot of regular casual personnel which are called on at peak times during the year, which are as follows:
• July and September
• Mid-December – mid-January
• Late March – mid-April
However these are subject to change depending on school holidays that tend to change on a year by year basis.
In return they are offer a good base salary, which includes 20 days holiday + Bank Holidays, and your working week will be 0830 to 1700hrs, however, during peak times, see above, you may be required to work extended hours.
